Manual Employee Setup
Under the main menu, you will find the Employees function, where you can configure your employees and add new ones.

As illustrated above, both part-time and full-time employees are automatically added based on the information submitted during the onboarding process. To ensure that all employee data is accurate, you can easily update this by selecting "Set up employee" or using the “...” menu to the right of the employee’s name. This ensures that employee information is correct and that the insurance coverage is precisely tailored to the employment terms.

Within the "Set up employee" function, you can easily adjust the name, job title, and employment type so that the employee’s insurance always corresponds to their current situation. It is crucial to choose the correct job title and employment type, as the insurance coverage is automatically calculated based on this information.

Once you have entered all employee details, the system automatically generates a relevant job title suggestion that matches. You can adjust or change this suggestion at any time by clicking "Change".

To delete an employee, click the three small dots next to the employee and select "Delete". If the employee has been created or updated manually, they will not be permanently deleted, but instead set to inactive and can easily be reactivated later if needed.
Automatic Employee Setup

If you prefer not to configure your employees manually, you can connect your payroll system under the "Company" function, as shown in the image above. To do this, click the “+” under "Integrations", then select "Payroll system".

You will then be prompted to connect your chosen integration to your Plain account, ensuring that your data is transferred securely and automatically. Simply click the relevant icon or use the search bar to find the integration you want to connect.

After selecting the desired system, you will see an overview of which data we collect - providing you with full transparency and confidence in the process. To continue, click "Connect now" a new window will open where you must log in with your credentials and follow the instructions.
Once the integration is complete, your payroll system will be connected to Plain, and all relevant data will be imported automatically.
Benefits of Connecting Your Payroll and Accounting Systems
Automated and Accurate Insurance Coverage ✓
By integrating your systems with the Plain platform, insurance coverage is automatically based on each employee’s actual working hours and employment type. You only pay for the hours each employee actually works. For instance, if a part-time employee works 8 hours per week, the insurance premium is calculated accordingly. This ensures your company always has the correct coverage for both full-time and part-time employees.
Reduced Administration and Fewer Errors ✓
When payroll and accounting systems are connected, the need for manual employee updates is removed - streamlining workflows and minimizing the risk of errors or outdated employee data.
Overview and Control ✓
Plain’s digital platform provides a transparent and user-friendly control center, allowing your company’s insurance policies to be managed easily and efficiently. Updates are handled automatically, and your company always has a full overview of coverage and costs.
